Weatherton POA Board Meeting August 13, 2025

Call to Order: 6:30pm

Location: Teams

Roll Call: Tammi, Grace, Beth, Bobbie, Diane, Pam, Debbie

Absent: Dustin, Sarah

Agenda:

Direct deposits for 2026

Arvest or Quick books for direct deposit 

• Electronic route would be $1,000s in fees

  • Beth thinks Quickbooks because everything is already set up

  • Electronically the fee is about 2.5 or 2.7% for processing (about $7)

  • Suggest a $10 convenience fee line item on invoices to cover the fee

  • Dues notices will go out in January next year, residents will contact if they want to pay electronically, dues due March 31. 

  • Suggestions to increase dues 

  • Letter will go to the house first, then emails, then invoices based on resident responses

  • Covenants update suggestion: Late fees

  • $6155 for 2024 Outstanding dues

  • Payment plans???  Get communication started with the households to collect back payments 

Taxes Update 

• Waiting game for IRS to confirm we’re settled for previous years

  • Waiting for confirmation on non-profit status

Welcome Diane 

• Diane will be taking over Quick book responsibilities from Beth

  • Keep Beth on to allow for a smooth transition

No Soliciting Signs

• Signs in production

  • POA to vote on location of signs

Wall Update

• Three quote requests- two came back

  • $3,700 quote for iron fence (same company from 2023)

  • Do we want to file it as a claim or just pay the $3,700

    • Will claiming it cause the insurance rates to increase? Tammi checking, will follow up in a week

  • Fence Guys would haul off the column, Pinnacle will not

  • Same style of iron fence that we have today, iron post instead of concrete post

  • All recommended not to use masonry

  • Suggestion: take out the rest of the western wall and replace it with all iron fence

  • Suggest negotiating with the city for something like trees etc

  • Request for a city engineer to come out and appraise the situation

Pool

• Lock Update

  • Recommendation is $800 for new lock better warranty 

    • KC (Casey?) lock and Key quoted $750 to fix current or around $1380  for a new one

  • Pool Evening Lock Schedule 

  • Michael Bader will do the lock and unlock

  • Closing on the Pool 

  • Cover needed

    • Resurfacing plans- to be discussed 

Sewer update

• Delayed due to changes in install location 

• They will be boring through the playground area

No new business
